Vendor Showcase

The 2019 Annual Conference Vendor Showcase is located in the Bloomington/Normal Marriott Redbird Ballroom.  The Exhibit Hall showcases participating firms and the products and services they offer government finance operations.  Exhibitors are welcome to attend all the educational sessions, breakfasts, luncheons, receptions and social events during the conference. EXHIBIT HOURS:
Exhibit Booth Setup Time in the Bloomington-Normal Marriott Redbird Ballroom: 
Sunday, Sept 8 - 2:00 to 4:00 pm
Exhibit Hall Open:
Sunday, Sept 8 - 5:00 to 6:30 pm
Monday, Sept 9 - 9:30 am to 12:30 pm 
Monday, Sept 9 - 1:30 - 5:15 pm
Monday, Sept 9 - Vendor Showcase Closing Reception - 5:15 - 6:15 pm

Dismantling of Exhibit Booth:
Monday, Sept 9 - 6:15 to 7:00 pm
All materials and displays must be dismantled by 7:00 PM or arranged for dismantling/shipping through Best Expo Inc.

MOVE-IN INSTRUCTIONS:
A layout of the Bloomington-Normal Marriott  Hotel and Conference Center can be downloaded here.  All exhibitors should unload their materials at the front entrance of the Marriott Hotel, 201 Broadway Avenue, Normal, IL.

BOOTH INFORMATION: 
The standard 10' x 6' booth comes with back and side drape, a 6' skirted table, and 2 chairs.  The drape colors are Green, White and Blue. The ballroom is hotel carpet. Additional items plus electric may be purchased directly from Best Expo, Inc., the official show decorator. 

 A name badge is required for admittance to all sessions, exhibits, and events. Each individual that will be working at or setting up your booth must be registered for the conference.  Name badges and conference admission will only be made to paid registrants. Individuals must pay the full conference fee even if they are only attending part of the Conference, the registration fee cannot be prorated. Like all conference registrants, exhibitors are responsible for their own lodging and travel arrangements and fees.

CANCELLATION POLICY:

ANNUAL CONFERENCE FEES 

Cancellation of an Annual Conference registration is subject to the following policy: 
• For an IGFOA Annual Conference registration, cancellations fourteen (14) days or more prior to the conference, refunds will be offset by a $50 cancellation fee.
• For an IGFOA Annual Conference registration cancellations within fourteen (14) days of the training, refunds will be offset by a cancellation fee of 50% of the registration fee. 
• No refunds will be given for no shows or cancellations after Friday 12:00 PM (CST) before the annual conference.
• A substitute attendee may be designated provided that the payment has been made and the IGFOA office has been notified in advance.
• A written request for a refund must be emailed to the IGFOA prior to the event. 

ANNUAL CONFERENCE EXHIBITOR BOOTH FEES 

• For cancellation of an Annual Conference exhibit booth twenty-one (21) days or more prior to the conference, refunds will be offset by a $500 cancellation fee.   
• For cancellation of an Annual Conference exhibit booth within twenty-one (21) days of the Annual Conference, a refund will not be given.
• A written request for a refund must be emailed to the IGFOA prior to the event. 

Conference registrants and exhibitors are responsible for their own travel and lodging arrangements.

GIFT BAN ACT:
IGFOA supports its public sector members in complying with the Gift Ban Act by not allowing raffles by Exhibitors in the Showcase.  Instead, IGFOA purchases prizes on behalf of all Partners and Exhibitors to give away to attendees. Exhibitors and Partners may give away traditional items such as pens, calculators, and so on.

This event complies with all Illinois Gift Ban Act restrictions as registration fee/payment is fair market value. IGFOA does not accept third party registration or payments for any event and any registrations and or payments made for an individual outside of your government or firm will be returned.

LIABILITY:
Exhibitor agrees to indemnify, hold harmless, and defend IGFOA and their respective members, officers, directors, agents, and employees (‘Indemnities’) forever harmless from and against any and all liabilities, damages, actions, losses, claims, and expenses (inclusive of attorney’s fees) on account of personal injury, death, or damage to or loss of property or profits arising out of or contributed to by any act, omission, negligence, fault, or violation of a law or ordinance by the Exhibitor or its employees, agents, contractors, patrons, and invitees.  Exhibitor hereby waives each and every claim that arises or may arise in its favor against any one or more of the indemnities for any and all losses of damage covered by valid and collectible insurance.  Such waiver precludes the assignment of any claim by subrogation or otherwise.  IGFOA will not be liable for loss or damage of any article of equipment or property of Exhibitor that may be suffered during installation or removal or during the Exhibit by reason of robbery, fire, accident, or any other destructive cause.  IGFOA is not responsible for lost or stolen items.
