POSITION SUMMARY

Under general supervision from the Accounting Manager, this position is responsible for providing financial, administrative, and clerical services in order to ensure effective, efficient, and accurate financial operations. Successful candidate will provide a variety of clerical, financial and public record keeping duties, including general information, collection and payment services to the public.

 

ESSENTIAL POSITION DUTIES & FUNCTIONS

Operations:

  • Review time cards for data entry and complete timely and accurate entry into the financial system. Process payroll cycle and maintain back-up reports after data entry and reconcile the transactions to total amount processed.
  • Communicate regularly with Human Resources regarding new hires, terminations, deduction reconciliations, payouts, etc.
  • Prepare, process and distribute W2’s to employees and Social Security Administration. Address inquiries from recipients.
  • Process cash receipts on weekly basis and verify that transactions comply with financial policies and procedures. Handle customer payments and other finance transactions including those that are related to, but not limited to, camping fees, police citations, state revenue, and farming and rental fees. Balances cash register and prepares deposits. Reconcile amounts to prepare reports and help to identify any variances.
  • Prepare billings and related notices. Responsible for collections efforts within the District and will maintain aged receivables at a level that is in accordance with generally accepted accounting principles.
  • Assist other administrative finance staff when needed by cross training on all functions of the department on a rotating basis, which includes purchasing, handling of office supplies, accounts payable, accounts receivable, support for reservation system, and vital records management.
  • Review accounts payable edit listings and requests for bids, quotes and proposals
  • Provide customer service within the District. Provide support for cash collections.  Prepare memorandums and documents as assigned and if necessary, provide notarization of documents.
  • Prepare letters, memos, routine reports and other correspondence and documents.
  • Create, maintain, update and track confidential files/information, ensuring accuracy and completeness.
  • Prioritize and track time sensitive assignments to ensure timely completion.
  • Attend professional conferences, workshops and seminars as appropriate within budget parameters and with Department Head approval.
  • Obtain and maintain all required licenses and certifications and keeps up-to-date on professional trends and developments related to position accountabilities.
  • Perform the job safely and in compliance with District policies, procedures, work and safety rules, the Employee Handbook, and applicable laws and regulations.
  • Collaborate and work with other departments regularly regarding new and current initatives for the District.
  • Contribute to annual audit by maintaining, preparing and providing account reconciliation support related to payroll, worker’s compensation, deductions, revenue accounts, and others as requested.
  • Establish positive relationships with the community, commissioners, staff and patrons.
  • Operate standard office machines.
  • Perform other duties as assigned.

QUALIFICATIONS

  • Minimum Age Requirement: 21 years of age
  • Education: High school diploma, or GED equivalent. Associate’s degree or greater in Accountancy or related field a plus.
  • Experience: A minimum of 2 years of experience in payroll and/or accounting, or an equivalent combination of relevant education, experience and training.
  • Certifications/Licenses: Certified Payroll Professional (CPP) certification a plus.
  • Experience with New World Systems software a plus.

 

Compensation and Benefits

The 2025 starting pay range for this opportunity is $30.38 – $32.72 per hour. This is an FLSA non-exempt position (eligible for overtime) that is eligible for the District’s full-time benefits.
