Accounting Clerk II – Accounts Payable | CITY OF WARRENVILLE

This position will perform a variety of accounting and clerical work with a high degree of complexity, decision-making, and communication related to processing the City’s accounts payable and payroll.

 Job Duties

  • Verify invoice quantities and extensions, assign proper account coding, validate adherence to the City’s purchasing policies and processes, and enter data into City’s operations software.
  • Review vendor invoices, verify accuracy, and match to supporting documentation.
  • Process all invoices and payables in accordance with department processes and policies.
  • Prepare and issue payable checks, and prepare accounts payable ACH payments.
  • Maintain financial records and prepare financial reports including annual 1099s.
  • Maintain and update payroll records, including changes in tax exemptions, direct deposit, or employee data.
  • Review employee timesheets and process payroll, once per month or more as needed, ensuring compliance to City policies, benefits, and collective bargaining agreements.
  • Perform cash receipt duties and prepare bank deposits as required.
  • Respond and interact with vendors, citizens, and City staff in a professional manner.
  • Perform basic clerical duties and assist department staff as needed.
  • Graduation from high school and at least 3 years finance-related experience. Some college coursework preferred.
  • Accounts payable focus in a municipal environment preferred.
  • Knowledge of basic accounting and bookkeeping.
  • Knowledge of federal and state laws and regulations relating to payroll.
  • Knowledge of collective bargaining agreements, retirement laws, record keeping, and compliance regulations.
  • Ability to maintain financial records and prepare financial reports including annual 1099s
  • Ability to perform arithmetic calculations quickly and accurately.
  • Ability to maintain confidentiality in the performance of duties.
  • Strong organizational and problem-solving skills.  
  • Ability to think creatively to generate new ideas on how to improve operations.
  • Ability to establish and maintain effective working relationships as part of a team.
  • Knowledge of the functions and departments of local government or the ability to acquire such knowledge during a reasonable period of training.


 Schedule and hours are 40 hours per week from 8:00 a.m. to 5:00 p.m., Monday – Friday. Hiring range is $49,178 – $58,399 commensurate with experience. This is a full-time, non-exempt position with benefits including health and life insurance,
